Activity and Comments

Track document history and collaborate with your team through inline comments and issue marking.

Activity Tracking

The Documents app automatically tracks all changes to your documents:

Activity Types

Viewing Activity

  1. Open the document in the editor
  2. Go to the Properties tab in the right panel
  3. Scroll to the Activity section
  4. View the chronological history of changes

Inline Issue Marking

The Documents app integrates deeply with Issues, allowing you to mark text directly in your documents as comments, tasks, or risks.

Issue Marking

Creating Issue Marks

  1. Select text in the document
  2. Use the formatting toolbar buttons that appear:
    • Comment button (speech bubble) - Create a comment
    • Task button (checkbox) - Create a task
    • Risk button (warning) - Create a risk
  3. Fill in the issue details in the panel
  4. Click Create

Alternatively, select text and right-click to access the context menu with issue marking options.

The selected text is highlighted with a color indicating the issue type:

Working with Issue Marks

  • Click a mark to view the linked issue in the right panel
  • Hover over a mark to see a preview of the issue
  • Issues tab shows all issues linked to the current document
  • Filter by type to see only comments, tasks, or risks

Issue Lifecycle

  1. Create an issue mark by selecting text
  2. The issue appears in the Comments & Issues tab
  3. Team members can comment on and update the issue
  4. Mark the issue as resolved when complete
  5. The text highlight updates to show resolved status

The Comments & Issues tab in the right panel provides a unified view of all document feedback:

Adding Comments to Issues

Each issue can have its own comment thread:

  1. Click on an issue card to expand it
  2. View existing comments in the activity feed
  3. Add a new comment using the text field
  4. Comments support @mentions for team members

Collaboration Features

Mentions

Mention team members in comments to notify them:

  1. Type @ followed by their name
  2. Select from the dropdown
  3. They receive a notification

Subscriptions

Stay informed about document changes:

  • Document owners are automatically subscribed
  • Users who comment become subscribers
  • Subscribers receive notifications for new comments and changes

Notification Behavior

When you're mentioned or subscribed to a document:

  • In-app notifications appear in the notification center
  • Email notifications (based on your settings)
  • Activity appears in your personal activity feed

Best Practices

  • Use issue marks for actionable feedback that needs tracking
  • Use comments for general discussions and notes
  • Mention team members who need to take action
  • Resolve issues promptly to keep the document clean
  • Reference version numbers when discussing specific content
  • Keep comments focused and actionable
